University College Arteveldehogeschool (1,000 members of staff and around 9,000 students) plans to start implementing a document management system in 2009. A wide range of different wishes, functional requirements and goals were put forward by the various central services and local educational units, so a standard proposal was no option.

In consultation with Paul Deckers (director, ICT and facility management) and Eddy De Maerschalck (head, ICT software development) the decision was taken to start with an analysis ahead of a vision workshop. The goal of the vision workshop was to better align the diverse wishes and goals and so develop a shared vision on how University College Arteveldehogeschool should handle a DMS project.

The project was expected to produce a list of potential projects and a recommendation on the appropriate technology.

Alongside the report with a list of potential projects and the recommendation in favour of the MS Sharepoint platform, workshops were also held. After an intensive process, the 22 participants presented 13 projects. They included setting up a shared meta-data structure and developing a clear, workable procedure, but also managing IT infrastructure access and setting up a collaborative working environment.

The project enabled University College Arteveldehogeschool to develop a strong foundation on which to build the project and gain additional insight into the steps that need to be taken to improve control of the Enterprise IT infrastructure.
